Student Data and School Use Policy
Last updated
How student learning records are used, what teachers and admins can see, how schools and parents or guardians can make requests, and how records are kept and deleted.
ClikServ Course Studio is used in classes, often with students who are minors, and often under a school’s arrangement. This policy says what a student’s learning record contains, what it is used for, who can see it, and how a school, a parent or a guardian can make a request. It sits alongside the Privacy Policy, which covers every kind of data the product holds.
What a student's learning record is, and what it is for
A student’s record is built from their own work in the product:
- lesson progress and the time actively spent (timestamps only — never keystrokes or clicks);
- quiz answers and attempts, free-response answers, the grades and feedback on them (grades are shown to teachers, not to students), and any earlier regrade requests;
- conversations with the AI tutor and mentor, and the questions sent to a teacher with the replies;
- coding-lab, Business Lab and Math Lab attempts and results;
- notebook notes;
- the signals the product keeps about what the student has understood;
- the learning profile: level, goal, chosen mentor, tutor names and optional interests.
It is used to:
- save the student’s place and show their progress and grades;
- let the AI tutor fit its explanations to the student (interests shape examples only and are never used in grading);
- let the student’s teacher see how they are doing and help them;
- count AI credits and keep the platform working.
It is never sold, used for advertising, or used to train AI models of our own.
Who can see a student's work
| Who | What they can see |
|---|---|
| The student | Everything about themselves: progress, grades, conversations, notes, what the mentor knows about them (My learning) and their own numbers (My stats). Never another student's work. |
| Their class teacher | That student's work in the courses attached to the classes they share: answers and grades, quiz attempts, questions to the tutor and to the teacher, regrades, lab attempts, progress and active time, plus a profile card. Work the student does in another teacher's class or in a public course outside the shared classes is not shown. |
| Co-teachers and co-mentors | A co-teacher a class owner added sees that class as the owner does. A co-mentor sees and answers the class's student questions, and nothing more. |
| Administrators | Any student and everything they did, in every course, including day-by-day active time — to run the platform, support users and handle abuse. |
| Other students | Nothing. The product has no student-to-student features; live chat is only between a teacher and a student in the same class. |
Students are never shown the source material a course was generated from, the grading rubrics, hidden lab tests, or a teacher’s solution notes. Teachers and co-staff must use what they see only for teaching that class (Acceptable Use Policy).
Schools and organisations
- When a school or organisation brings students to the product, it is responsible for having the authority to do so — including any consent needed from parents or guardians — and for telling students how the product is used in their class.
- An administrator can group accounts into an organisation so a school’s people can be managed together.
- A school that needs a data processing agreement, a particular hosting region, a list of service providers, or a security questionnaire answered should contact us before use. The Privacy Policy lists the providers that process data on our behalf.
Requests from parents, guardians and schools
A parent or guardian of a student who is a minor, or a school acting for its students, can ask us to:
- explain what the product holds about a student;
- provide a copy of the student’s record;
- correct something in it;
- delete the student’s account and record;
- remove an account that was created without the needed permission.
Write to support at clikservinc.com with the student’s name and the email on the account. We will need to confirm you are entitled to ask — usually by replying to the parent, guardian or school address we already have, or through the school. Where the school is the one that set up the class, we may route the request through the school. Students who can act for themselves can also delete their own account from the Account page at any time.
Keeping and deleting records
- A student’s record is kept while the account exists.
- Deleting the account removes the whole record immediately: progress, answers, grades, conversations, notes, lab attempts, questions, live chat and memberships. The Account page lists what will be removed before you confirm. Any paid subscription is cancelled first.
- What remains is not personal: AI usage counts with an opaque id, and app feedback with the name and email removed.
- A teacher deleting their account does not delete their students’ records; it keeps the courses available, with the teacher anonymised, for up to one year so a class is not cut off.
- The product has no fixed deletion schedule for inactive student accounts; an administrator may remove accounts that never went beyond the demo courses.
